Hall Manager

RESPONSIBILITIES
Event Coordination and Booking:
Book at least five events per month.
Consult with prospective renter(s) to understand their event requirements.
Discuss Colonies House lease terms and pricing options.
Negotiate terms of contracts with prospective renter(s).
Coordinate logistics for events, including scheduling, scheduling peace officer(s), setup
of tables and chairs (optional), and breakdown of same (optional).Ensure timely communication with prospective renter(s) throughout the booking process.
Colonies House Operations and Maintenance:
Work with Colonies House Board to oversee the maintenance and repairs of the hall, grounds, property, equipment, and facilities as needed.
Ensure cleanliness and organization of Colonies House. Maintain cleaning and bathroom paper supplies.
Coordinate and organize volunteer support to maintain the overall condition of the hall.
Marketing and Promotion:
Partner with the Communications Chair and collaborate with Colonies House Board to promote Colonies House and attract prospective renter(s) through various marketing channels, including Colonies House and other social media.
Highlight the unique features and amenities of the venue.
Administrative Tasks:
Manage administrative responsibilities, including booking schedules and invoicing.
Enforce security regulations and protocols.
Maintain accurate records related to bookings and financial transactions.
Ensure deposits and payments are provided to Colonies House treasurer in a timely manner.
Report to Colonies House Board.
Customer Service and Satisfaction:
Ensure exceptional customer service for all prospective renter(s) and guests.
Address any incidents or queries during events promptly with Colonies House Board.
Anticipate renters’ needs and find solutions that meet their requirements.
Preferred Vendor List Development
Building and maintaining a comprehensive list of Preferred Vendors (e.g., caterers, decorators, photographers, DJs) to be made available to renters as a resource, enhancing their event planning experience with Colonies House.
Build relationships with vendors to negotiate terms of referral or partnership. This arrangement must be agreed upon directly between the Hall Manager and the Preferred Vendor and should be transparent to ensure a seamless experience for renters and to the Colonies House President, VP, and Treasure.
Regularly update and refine the vendor list to meet the evolving needs of renters.
Act as a liaison between renters and vendors when requested.
PAY STRUCTURE
Receive 10% commission of events booked, if less than five events per month.
Receive 15% commission of events booked, if more than five events per month.
Receive negotiated terms of referral or partnership with Preferred Vendors.
